Requests in neoCatalog Server is the page to create orders for users from neoCatalog iOS and neoCatalog Server. Further, it is used to record exported QuickPrint´s PDF and TIFF output files and sent emails with automated created codes.

Request Orders

The Requests page has the default workflow selected when opening Requests tab, that is showing you the request orders cards in different state columns. You can switch between workflows, if exist. At the bottom of every column you can see the amount of requests and scroll up/down and left/right. Using the request code you can search for orders in the search fields. Also you can sort using the given sorting types (same as for design sorting) and show/hide the archived requests.

The request card in the column shows the request ID, date of creation and the assigned request customer name. When hovering over the request card, then you will see the items preview and name that are used in the request.

When clicking on the request ID, then you will open the request form. Here you can view request data and items, also share and export options.

  • The customer name can be hidden and only the customer ID will be use for users with no user privilege to view Sales informations.
  • Share and export options are based on user privileges to Share and Export.

From option View > Event history you can view the full life cycle of one order being in processing states with data of date, user and action.

Create Requests

You can create Requests from neoCatalog Designs and Colorways View with button. Select your design or designs with multiple selection and select the Request Type.

Remember to have Workflows and Request Types in Administration created before starting.

You will access the Request order form. On the top bar you will see the state where the order is placed. Request type, creator, request code and date are embedded automatically. You can enter and/or edit:

  • Request data: name, customer, type, creator, priority, comments
  • Request items: remove/add/download design and colorway, select fabric and finishing methods, add quantity or size, comments
  • Next to every item you have the option to download the design file or delete the item in the order.

After any modification, press Save.

Else, you can create one empty order from Request Page with button '+ Request' then selecting the request type. 

This will open the request order window where you can add data and items.

Add Items

Continue with the items section. Now you can add more items or modify the already selected. You are able to have more items in the same order. Press on Add Item to add required contents for more sample order. 

  • Click on the fields and you can add the design code/name. It will take the default colorway automatically.
  • Enter the quantity/size of the order and select, if exist, the fabric type and finishing method. 
  • In comments you can add optional notes that may be useful for your request.

After any modification, press Save.


From Attachments option via 'View' button at the bottom menu you can add optional files and documents that are be useful for your request. Click on 'Add Attachment...'. Select your file and upload it. Once uploaded, from same menu you can add more, download or delete attachments.

Request Codes for Output

neoCatalog is using the Requests system to track output files, exported from the Print option or that were sent by mail. The outputs will be referred to request codes automatically created in neoCatalog. 

Manage Requests

For created request orders there is no need to publish them, as it will use from the first beginning of the order creation the final request code. After the order is present, it will appear in the request page. If you wish to delete the order, open the request by ID name or click on Edit sub-option via '...' and use the button located on bottom of the opened order page. 

Once the order is created it will placed in the default state defined in the Workflow. From this state you can edit or move the order in different ways.

Next State

You can drag&drop the card in the next state. Or, click on the check icon √  on top-right of the card and it will move the order automatically to the next state column. Going to the previously state is not possible with this option.

Order options

Click on the dots icon '...' on the top-right of the card. It unfolds several options.

  • Edit: Opens the order to edit or delete.
  • Move to Workflow: Moves the order to another Workflow cerated in neoCatalog.
  • Change the State: Moves the order to a different state in the current Workflow
  • Print: Generates print document or job with Print option. When working with print presets, then it can be selected in the sublist. 
  • Restart: Moves the order to the default state of the current Workflow.
  • Download all files: Can download original design file as compressed ZIP that are used in the order.
  • Archive: Move the order to archive column.

Change state of all orders

Click on the dots icon '...' on the state column to change the state of all orders in the state.


Click on the dots icon '...' on the top-right of the card. It unfolds several options.

  • Notify customer: If the order contains customer, then you can notify the customer with the option that sends one email.
  • Notify team: If the order is present in one workflow that uses owner exclusivity, then you can notify the owner with the option that sends one email.

Working with Workflow States that have action rules applied, once this state is reached, then the rules are applied automatically.

Archived orders

Archived orders are hidden by default, but can be shown when enabling the option on the top. Once the order is archived, it can be restarted and managed the same as one non-archived order.

There is no possibility for multiple selection.

Exportation Options for Requests

Print or Share

When opening one order you will find export options at the bottom of the page. You can do Print and Share Samples, also available in other parts of the application. With 'Print' you can generate PDFs and send emails

With 'Print' you can generate PDFs, send emails, generate printing jobs of the order or send directly print jobs to Print Server. The request codes can be applied in the layouts, as available in default neoCatalog layouts.

With 'Share Samples' you can share the order in a sample page with design information and simulations with people without access to neoCatalog. It will share a public link that can be accessed without login.

Export excel of state

In the request kanban selecting the state column and then within 3 dots options, you can select to export the excel file (xlsx).
